Arrival and enrolment info, Vienna Campus - Sept 2025

ENROLMENT INFORMATION

Enrolment is an administrative event, conducted in person or online, where, after checking the original copy of all your key documents, a Contract of Education is signed, whereby you officially become an active student of IBS.

Enrolment is ONLINE for all Vienna MSc students via Microsoft Teams.

Please check the enrolment period on our website here.

The normal enrolment period is 11 August - 5 September. It is strongly recommended that you enrol during this period. Late enrolments will be possible between 8-12 September.

Online enrolment is a video chat where you have to present your original documents and sign the contract of education in front of the camera.

You will have to get an appointment for your online enrolment date and time, so PLEASE WRITE TO info@ibsvienna.com and provide your full name, programme and 5-digit application ID number.

During the enrolment video call you will have to present the originals of the following documents:

  • Your original Bachelor's degree and its English translation
  • Your original work reference letter(s) if you have been admitted with that
  • English language certificate /Medium of Instruction certificate
  • passport 
  • For online enrolment, you also need to have the printed Contract of Education with you. You will receive a printable contract by email after requesting an online enrolment.
    During online enrolment, you will be asked about your visa status and whether you know for sure that you will arrive by the time teaching starts.

STUDY MODE OPTIONS FOR THE AUTUMN SEMESTER: 

IBS will launch the MSc in International Management programme with face-to-face classes in Vienna. In addition, an online study option is provided for students who wish to study online or whose visas are delayed. The tuition fees are the same in both study modes.

You should always keep IBS informed about your visa status:

- If you receive your study visa, you should send a scanned copy or photo of your visa to info@ibsvienna.com.

- If your visa application is refused, you should send a scanned copy or photo of your visa refusal document to info@ibsvienna.com.

What happens if I would like to study face-to face, but cannot arrive in Vienna in time for the start of the semester?

If you cannot arrive in Vienna by 15 September, you will have to start your programme online, and you will be studying online up until 17 October. In this case, you will be asked again early October whether you will be physically present on campus by 20 October. This is the only date when you can switch from online to face-to-face classes. If you cannot arrive even by this date, you will have to complete the rest of the semester online.

VISA ISSUES, REFUND POLICY

  • Once you have received the admission certificates of IBS for the permit application, you can apply for a refund only if your permit is rejected and you email the full rejection document to IBS. No other excuse for the refund request is accepted.
  • IBS will review the rejection document and consult with the Austrian Lawyer before making a decision about your refund request.
  • If your visa is granted, we CANNOT refund you the tuition fee and the registration fee in any circumstances.
  • If your visa is rejected, EUR 400 from your payment is non-refundable, the rest will be refunded.
  • However, if the rejection is due to your fault (e.g. you booked your visa interview without the lawyer / you did not follow the instructions of the lawyer / you did not communicate with the Austrian Consulate in a respectful manner / you could not reply to the questions asked by the Austrian Consulate in comprehensible English sentences), there is no refund.
  • If your permit is rejected due to inappropriate documents you submitted, the application fee and EUR 2,000 from your tuition fee payment are non-refundable, the rest of your payment will be refunded to you.
  • Instead of a refund, you may request deferral to the next intake. EUR 400 will be charged for your first semester even if deferral is granted.
  • Once you have received your visa, you are not allowed to defer your intake.
  • If you have not used the services of the Austrian lawyer, there is no refund.
  • If you have enrolled but do not receive the visa decision up to 31 January 2026, you can ask IBS to defer you to the next intake, but EUR 400 will still be charged for your first semester.
  • If you decide to leave Austria or to transfer to another institution, the tuition fee and the registration fee will NOT be refunded.

ORIENTATION, PROGRAMME START

Ms Andrea Kovacs from the Centre for Student Services will inform you by email about the orientation details and the start of the programme in due time. After enrolment she will be assisting you throughout your studies, you can reach her at andreakovac@ibs-b.hu

OTHER IMPORTANT INFO

Please inform the Austrian lawyer about your ARRIVAL DATE in Vienna, as you must submit some further documents before collecting the residence card. The lawyer can advise you properly and also accompany you to the appointment at the Immigration Office.

  • Bring your original school/English language certificates and your birth certificate with you to Austria as you might need to present them to authorities.. You will also need to have 2 ID photos.
  • Buy a travel insurance valid in Austria for 30 days starting on the day of your arrival, before you leave your home country.
  • Bring your own laptop with you.
  • Electricity in Austria is 220 V. Please make sure your plugs are EU compatible or bring appropriate adapters with you.
  • Have about 500 Euros with you in cash just for emergency.
  • With your pupil study permit, you are not entitled to a student discount on public transport, so we suggest you buy an annual pass valid for a WHOLE YEAR, which is the cheapest way to get around in the city.
  • Your family members are not allowed to apply for a dependent visa to Austria.
  • If you would like to stay in Austria after you finish your studies, you must secure a job BEFORE your pupil permit expires as you cannot stay back in Austria without a job. Please read further details on our website.

What to do upon arrival in Vienna

  1. Within 3 working days of arrival in Austria you have to register at the registration office at your place of residence (Meldezettel). Registration is free of charge.
  2. Within the validity of the type D visa you need to pick up your residence permit at MA35 in Vienna.
    You have to send the Meldezettel, your health insurance confirmation (confirmation should not be older than two weeks) as well as the confirmation of enrolment to the Austrian Lawyer, so they can inform MA35 accordingly to reserve a pick-up appointment.
    You should keep in mind that it usually takes several weeks to obtain an appointment at MA35 and that you have only six months to collect your residence permit after the lawyer informed you about the approval of your permit.
  3. You must open a bank account in Austria.
